LEGAL MARK
Privacy Policy
Effective date: 10 September 2026. Controller and contracting entity: KALESHWARA LTD, 12 Stonor Road, London, United Kingdom, W14 8RZ. Contact: office@kaleshwara.digital. Website: https://kaleshwara.digital.
1. Who we are
KALESHWARA LTD of 12 Stonor Road, London, United Kingdom, W14 8RZ is the controller of personal data collected through https://kaleshwara.digital and through correspondence sent to office@kaleshwara.digital or +447846961094. We provide computer systems design and related professional, scientific and technical services, including custom computer programming, infrastructure coordination, data processing, web hosting related support and prepackaged software services. This Privacy Policy explains how we collect, use, store, share and retain personal data, and the rights available under UK GDPR and the Data Protection Act 2018.
If we process personal data on a client's systems as a processor, a separate processing schedule or statement of work will describe that processing. This policy is primarily about our own controller activities: the cue desk, the website, invoices, and professional correspondence.
2. The data we collect
We collect identity and contact data that you place on a sequence request: name, email address, and the content of your message. If you telephone or write, we may keep a note of the conversation sufficient to place a count. If we contract, we may collect organisation name, billing address, payment references, and the names of authorised representatives and placed roles.
Technical data may be collected by the hosting environment of the website, such as IP address, browser type, device class, and approximate location derived from IP. We do not use this site as a surveillance floor. We do not seek special category data through the public form, and we ask you not to send it there.
We do not scrape social profiles to build hidden dossiers. We do not buy lists. We do not create fake user accounts. Correspondence you send us is not used as a public testimonial.
3. How we collect it
Most personal data comes directly from you: the sequence request form, email to the published address, telephone, or meetings at or arranged from the London address. Some technical data is generated automatically when you load pages on kaleshwara.digital. Some data comes from your organisation when it names you as a representative.
If a third party introduces you, we will take only the contact needed to answer and will tell you the source if you ask, unless the law forbids it.
4. Purposes and lawful bases
We use cue-desk data to understand the scattered movement you describe, to reply, and if appropriate to propose a sequence. The lawful basis is steps at your request prior to a contract, or legitimate interests in operating a professional practice that can be rehearsed without wasting either party's time. You may object to legitimate interests; we will stop unless we have compelling grounds or a legal claim.
We use contract data to perform and administer the engagement, including invoicing and placing roles. The lawful basis is contract. We use records required by tax, company and professional law on the basis of legal obligation. We use limited technical data to keep the website available and secure, on legitimate interests.
We do not use automated decision-making that produces legal or similarly significant effects. We do not profile visitors for advertising networks.
5. The rehearsal method and data minimisation
Our method is to place roles and count handoffs. That method applies to personal data: we ask only for what is needed to place the next count. A sequence request does not require your life history. A systems engagement does not require personal data of your customers unless the work is itself data processing and a lawful instruction exists.
We will push back, as a professional correction, if a message contains unnecessary personal data of other people. Please do not paste employment files, medical notes, or children's data into the public form.
6. Sharing
We share personal data with service providers who host email, accounting, or the website, under contracts that require appropriate protection. We may share with professional advisers (legal, accounting) under confidentiality. We may share with authorities if required by law. We do not sell personal data. We do not trade it for advertising.
If an engagement requires a subcontractor to occupy a role, we will bind them to confidentiality and, where they process personal data for us, to processing terms. We remain responsible for our processors.
7. International transfers
Our ordinary floor is the United Kingdom. Some tools may store or access data in other countries. Where that happens, we use a lawful transfer mechanism such as adequacy or appropriate contractual clauses, together with an assessment of the destination where required.
You may ask us for information about transfers that concern your data.
8. Retention
Sequence requests that do not become engagements are kept only as long as needed to complete correspondence and to defend possible claims, ordinarily up to twenty-four months unless a longer legal hold applies. Engagement records are kept for the life of the work and thereafter for a period consistent with limitation periods and tax law in the United Kingdom, commonly up to six years after the end of the relevant accounting period, or longer if a dispute is live.
Website logs, if retained by the host, follow the host's cycle, which we review for proportionality. You may ask us to delete controller data where a ground applies; legal holds and the defence of claims may delay deletion.
9. Security
We apply organisational and technical measures proportionate to a professional practice: limited access, credential hygiene, and care in how sequence notes are stored. No method is perfect. You should not use the public form for secrets that require a dedicated controlled channel. If we become aware of a personal data breach likely to result in a risk to your rights, we will notify you and the Information Commissioner's Office as the law requires.
10. Your rights
You have the right to access, rectification, erasure, restriction, objection, and portability, in the circumstances set out in UK GDPR. You may withdraw consent where consent was the basis (it is not our ordinary basis for the cue desk). You may complain to the Information Commissioner's Office at ico.org.uk.
To exercise rights, write to office@kaleshwara.digital from an address we can reasonably associate with the request, or write to 12 Stonor Road, London, United Kingdom, W14 8RZ. We may need to verify identity. We will respond within one month, or explain an extension where the law allows.
We will not discriminate against you for exercising rights. We may refuse a request that is manifestly unfounded or excessive, as the law allows.
11. Children
Our services are for organisations and adult professionals. We do not knowingly collect children's data through this website. If you believe a child has sent us data, contact us and we will delete it unless we must keep it by law.
12. Cookies and related technologies
Cookies and similar technologies are described in the Cookie Policy. That policy is part of the same legal floor as this document. Where a cookie is not strictly necessary, we will not set it without a lawful basis as described there.
13. Correspondence and recordings
We do not routinely record telephone calls. If a meeting is to be recorded, we will say so. Notes of meetings are professional records, not public minutes. Please tell us if a conversation must not be noted beyond a minimum, and we will say if that makes the sequence impossible to rehearse.
14. Sources other than you
If your organisation names you as a role owner, we will hold your name and work contact to perform the contract with that organisation. The organisation is responsible for telling you. You still have rights against us as controller of our records.
15. Marketing
We do not run advertising networks on this site. We do not send bulk promotional mail as a default. If we ever send a professional update, it will be because you asked, because we have a legitimate interest that you can refuse, or because it is a service message about an engagement you already have. Every non-essential message will carry a way to stop.
16. Links
The website may link to maps or other independent services, including a Google Maps view of our address. Those services have their own privacy marks. We are not the controller of their independent collection. The map is provided so that 12 Stonor Road, London, United Kingdom, W14 8RZ can be found accurately.
17. Changes
We will update this policy when our processing or the law changes. The date at the top will change. Material changes that affect the cue desk will be indicated on the policy page. Continued use of the website after a change constitutes awareness of the new text for website use. Contracts already in force are not silently rewritten.
18. Contact
Privacy correspondence: office@kaleshwara.digital. Postal: KALESHWARA LTD, 12 Stonor Road, London, United Kingdom, W14 8RZ. Telephone: +447846961094. Website: https://kaleshwara.digital. If you are unhappy with our reply, you may contact the Information Commissioner's Office. We would rather correct the spacing on our own floor first.
